Administrative Assistant, Intermediate or Senior','254735','Federal Reserve Bank of Richmond','VA-Richmond','','Full-time','Regular','Non-exempt','Non-exempt','Experienced','','','No','Day Job','','','Tier II - No Credit Check','Tier II - No Credit Check','','','','!*!The Supervision, Regulation and Credit Department, Credit Risk Management Division has an immediate opening for an Administrative Assistant, Intermediate or Senior.  In the role, the administrative assistant provides administrative support for department units and management including, but not limited to, preparing, revising, and developing documents maintaining and/or monitoring calendars, files, emails, deadlines and appointments; making travel arrangements; procuring supplies and processing invoices; coordinating meetings;  maintaining databases acting as a liaison to other departments; and completing assigned projects.  Located in Richmond, VA, the Administrative Assistant reports to the Assistant Vice President.

Essential Duties and Responsibilities (include but are not limited to the following):

Produces, proofreads and edits reports, spreadsheets, presentations, and other various reports some of which are confidential or sensitive in nature

Maintains department-wide calendars. May maintain other department databases as needed

Makes travel arrangements for officers, management, and other department staff. Prepares vouchers in travel system

Provides administrative support to the Discount Committee, particularly for meeting scheduling and preparation

Provides support to the officer in email management, time tracking and meeting preparation

Performs purchasing and payment activities for department, working within established guidelines to ensure compliance with Federal Reserve policies and timely payment of invoices

Schedules and coordinates meetings, conference calls and events for management team

Maintains department records including department procurement records to meet requirements of audits and operations reviews

May serve as primary point of contact for guests and works directly with them to coordinate seminars, travel or other routine arrangements

Develops basic analytical reports and assists with projects of low to average complexity and priority, such as compiling and analyzing data from various CRM tools and databases

Performs various department onboarding activities, including preparation of workspaces, updates to email groups, and creation of new employee information packets

Works on special assignments and plans special meetings or functions as needed

Performs other incidental duties as assigned

3 to 5 years of administrative assistant experience (5 to 9 years at the Senior level)

High school diploma or GED 

Knowledge & Skills:

Proficient computer skills including Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint) along with other various online applications

Ability to handle sensitive information with confidentiality

Strong customer service and interpersonal skills

Excellent oral and written communication skills

Strong grammatical skills for proofreading and editing written reports and other correspondence

Critical attention to detail

Basic project management and analytical skills

Strong ability to prioritize multiple tasks appropriately

Attentive response to internal or external requests for information

Ability to work independently with moderate supervision and direction

Effective working as contributor and member of a team environment

Possesses thorough knowledge of principles, practices, and procedures of assigned functional areas
