Job Summary

The Children's Hospital of Philadelphia Research Institute is an interdisciplinary institution dedicated to conducting basic, clinical and translational research on conditions and diseases that affect children, and is part of The Children's Hospital of Philadelphia and University of Pennsylvania research community. The Center for Injury Research and Prevention is a Center of Emphasis at CHOP with a world-renowned reputation for advancing the safety of children, youth and young adults through research and action, by conducting research across the Precision Prevention continuum – from preventing crashes, violence and injuries through the treatment of concussion and other physical injuries and addressing traumatic stress. Our science on the leading causes of child death – injury and violence - is collaborative and multidisciplinary, bringing together researchers across CHOP, from Penn, and nationally and internationally.

The Grant Writer will perform grant writing and management functions that will maximize essential support from external sponsors for investigators of the Center for Injury Research and Prevention, which is a Center of Emphasis within the Research Institute of The Children's Hospital of Philadelphia. The Grant Writer will facilitate and coordinate each grant submission, serving as the primary point person for each grant project, overseeing team communication, organizing and coordinating the submission process, and providing writing, editing, project planning and budgeting services and expertise.

Job Responsibilities

 (35%)  Facilitation and Organization of grant submissions   

Act as the grant submission coordinator throughout the proposal preparation process to communicate information to and from research team members, sponsor, sponsored projects office, and research business manager; organize meetings and conference calls.

Read and understand proposal requirements and develop and facilitate plan for proposal completion including systematically collecting components (e.g. biosketches, letters of support, facilities descriptions, personnel information), determining timelines, and creating/maintaining collaborative workspaces

For electronic submissions, upload all documents in correct format and ensure that all required elements are complete. Work with sponsored projects office to see through to submission.  For paper submissions, compile all components and oversee sign-off,  copying, collating and mailing of all required documents.

 (35%) Grant Writing    

Write all ‘non-science’ grant sections, including facilities and resource descriptions, human subjects protection, project management, data security, organizational capabilities, budget justifications, draft letters of support, etc.

Complete enrollment tables, compile and format references and appendices

Compile above sections along with sections written by investigative team members (including sub-sites),  ensure uniform document formatting, and oversee review and editing of entire document by team.

(20%) Grant Budgeting

Communicate with PI to determine project needs.  Gather personnel costs and contact other internal and external sources and vendors as needed to determine other project costs. If applicable, work with research purchasing office and clinical trials financial management team to determine costs.

Develop preliminary budget and work with research business manager to formalize and place in correct format.

Work with project team to revise as needed per grant funding limits.

  (10%) Provide related grant writing support                  

Identify new funding opportunities

Create templates for commonly used grant components

Maintain database of funded grants for access by center faculty

Required Licenses, Certifications, Registrations


Required Education and Experience

Required Education: Bachelors degree

Required Experience:

Three years of professional experience in an academic or research institute or similar setting, or equivalent combination of education and relevant experience required.

Demonstrated experience working with grants, contracts and subcontracts.

Additional Technical Requirements

Demonstrated experience working with grants, contracts and subcontracts.

-Demonstrated experience in working across multiple disciplines

-Demonstrated writing ability.

-Working knowledge of key practices, regulations, policies and procedures related to grants/contracts.

-Working knowledge of grant budgeting practices

-Experience with EndNote or similar reference management tools

-Ability to prioritize, plan and execute multiple complicated and continuing grants in a timely manner.

-Ability to be professional, courteous and tactful in dealing with researchers, sponsors, research business managers and sponsored projects officers and to communicate clearly and effectively with all research partners.

-Ability to work independently to fulfill all submission requirements, and to creatively respond to obstacles and challenges to grant completion.
