To work in partnership with the Director of Development, Executive Director, Board of Directors and administrative team to implement core fundraising activities of the organization, with primary focus on oversight, management and delivery of entire grant process that supports the organizational annual budget. Additional focus and attention on marketing/communications and special events.
Key Roles
(Essential Job Responsibilities)
Grant Management
Oversee entire grant process, including contributing to the planning and implementation of the strategic plan regarding activities relating to grant solicitations and other Club fundraising efforts.
Contribute to attaining financial support through grants, both recurring and new:
Research and write grant proposals for operational and program support;
Work with club management and staff to solicit corporations and civic groups for grant donations and other resources
Manage administrative and operational systems to:
Track grant income, compile income status reports and variance reports and complete follow up reports with program staff. Provide monthly written report on grants for Board and staff meetings.
Recognize contributions with acknowledgement letter and special recognition events.
Marketing and Public Relations
Facilitate all outgoing media and communication on behalf of the organization, including but not limited to: Website update and management, Constant Contact E-newsletter, social media, press releases, special event marketing materials.
Special Event Support
Assist with the planning and execution of all fundraising events including annual Champion of Youth Breakfast (November), City Chic (March), Corporate 5K (May) and Golf Tournament (September) as directed by Director of Development.
Work in concert with Accounting Department to recognize all Grant income accordingly.
Work directly with Director of Operations and Unit Directors regarding all potential grants, grant compliance, deliverables and reports.
Maintain open communication with Administrative Assistant in support of all fundraising events. Communicate on regular basis with Director of Development on grant progress and prospects.
Maintain close, daily contact with Club management to exchange information, seek and give assistance, consultation and direction.
Key Responsibilities
Research, write, proofread, and edit proposals, including budgets and all related materials; review for accuracy before final submission.
Establish and maintain timelines for proposal submissions, ensure that proposals and required reports are submitted on time and are of consistent high quality.
Manage organization’s grants portfolio by tracking funding restrictions, promised outcomes, grant period, reporting requirements, etc.
Prepare and coordinate proposals. Build working knowledge of current Club programs.
Work with Finance and program staff to develop budgets for grant proposals.
Conduct research and outreach to funding sources.
Write, proofread and edit correspondence and other written materials as needed.
Work with programs to ensure compliance with grant terms and promised goals, objectives and evaluation methodologies.
Ensure all required reports are submitted on time.
Maintain current records in database, including grant tracking and reporting.
Oversee marketing and communications plan for organization.
Serve as an additional support during event planning and execution.
B.A. Degree in English, Journalism or other writing-intensive field, or experience with non-profit grant writing preferred.
Minimum of two years related experience in grant research/writing required.
Exceptional grammar, writing, editing, and proofreading skills.
Considerable knowledge of: the Mission of Boys & Girls Clubs, of the principles and practices of non-profit organizations.
Knowledge of fundraising principles and the process of institutional grant seeking, including methods and resources for grant research.
Must be able to compose letters of intent, grants, reports, donor appeals, marketing collateral, and other appropriate documentation.
Ability to manage all aspects of the proposal preparation process.
Knowledge of program management and design helpful.
Proficient in the use of a computer, specifically Office Suite, Windows (Word, excel, PowerPoint), website management, Constant Contact, social media administration.
Meticulous attention to detail required. Excellent organizational and project management skills; ability to be self-directed.
Writing/grant samples will be required at the time of interview.
