Assist efforts of Director and communications staff in the administrative management of all duties relating to their position. Serve as receptionist, and liaison for all campus and external contacts. Develop strong relationships with Purdue faculty and staff. Develop efficient project tracking and filing procedures. Serve as a facilitator in coordinating projects and events, and in the communication of information from the office of the Director. Coordinate meetings, conferences, itineraries, etc. Assemble data, prepare and aid in preparation of communication materials and reports. Early stage preparation of communication materials, manage distribution of communication materials. Supervise student staff and perform tasks as assigned by Director. Organize and coordinate appointments for interviews, photo and video shoots with students and faculty. Coordination of meetings and event planning.
High school diploma / GED.
Four years of office management, high level administrative or secretarial experience.
Strong verbal and written communication with skills in composing, proofreading and editing correspondence.
Excellent customer service skills with ability to interact effectively with people from various levels of the University
Exceptional interpersonal skills with the ability to influence and build work relationships among a diverse workforce.
Strong organizational and time management skills with emphasis on accuracy and attention to detail
Motivated individual with ability to efficiently multi task, work under pressure, handle interruptions and meet deadlines
Creative, thorough and professional with ability to identify and determine problems, analyze information and implement solutions
Capable of taking initiative, assuming responsibility and handling confidential information with discretion
Ability to work independently and collaborate in a team environment
Must possess a learning orientation to changing technology
Ability to search/mine data from University and external websites
Proficient in: Microsoft Word, Outlook, Excel, PowerPoint and Internet software
Bachelor's degree Communications, Public Relations, English, Business administration or related field
Working knowledge of University procedures, regulations and structure
Collaborative software such as SharePoint and Adobe design software
Print and web design, enhanced capabilities such as importing/exporting Excel data and inserting graphics desired
